Force Byte - Protecting Your Data

With more and more document exchange being predominantly in electronic form, people nowadays are most concerned with their data integrity during the exchange. They want to ensure that the recipients will receive exactly what they send.

In Excel, you can assign a password that must be used in order to release protection of Sheet or Workbook or both. (You can use a different password for each.) But bear in mind that password protection is a very serious business. Once you have assigned a password, there is no way to unprotect the sheet or workbook without it. Hence please don't forget your passwords! Also, please remember that they are case sensitive!

To assign a password, follow the steps below:

1. Choose "Protection" and then "Protect Sheet" or "Protect Workbook" from the "Tools" menu. By default, Excel "locks" (protects) cells, graphics objects, charts and scenarios if you choose "Protect Sheet", while it will prevent any structure alteration of a workbook if you choose "Protect Workbook".

2. Type a password and click "OK" in the dialog box that appears.

3. When prompted, re-enter the password and click "OK" to return to the worksheet or workbook.

If you also allow the recipients to edit your file, you can supply them with your password by any secure means. Then the recipients can remove protection of Sheet or Workbook or both by choosing the appropriate Unprotect command. Notice that if protection is activated for a worksheet or a workbook or both, the Protection command on the "Tools" menu will change to "Unprotect Sheet" or "Unprotect Workbook" or both.

That's the end. However, I would like to thank Alan Wong, working in PTU, for his compliment to appreciate our effort in helping him resolve an Excel problem that bothered him for a year.

I should say that it's very encouraging to have the response from you! So please don't hesitate to send me anything that you think it is good to promote the greater use of IT technology in the Force from now on. Your questions, suggestions, tips, hints, in addition to compliments, are always welcome!
