Printing Worksheets in Excel (2)

Last time we mentioned about the "Page Setup" option in the "File" menu. After selecting this option, the "Page Setup" dialogue box will appear. Here you can change the settings in the following four areas to format your worksheet to be printed.

* Page

* Margins

* Header/Footer

* Sheet

The content of the "Page Setup" dialogue box is shown in Figure 1. You can see four tabs inside the box. If you press any one of them, the "Page Setup" dialogue box will show the corresponding details. I will talk about each tab in the coming four issues.

Page Setup

I will first introduce the settings in the "Page" tab:

* "Orientation"

There are two options as follows:

* "Portrait"

This is the default orientation. The paper will be printed in a vertical format (i.e. along the short side of the paper).

* "Landscape"

The paper will be printed in a horizontal format (i.e. along the long side of the paper). This option is generally applied to worksheets which consist of numerous columns. If some of the columns will be left out when printing in a vertical format, you may consider this option.

* "Scaling"

This can magnify or reduce the worksheet to be printed. However, it will only affect the printing size but not the size of the worksheet shown on the screen. Some printers which have lower resolution will not support this print feature. In this case, no effect will be produced even when you set any settings for this field.

* "Adjust to" - The output scale can be set in this field. For example, if the worksheet has too many rows and columns to be printed on one page, and you insist on printing it on one page, you may consider printing it in a reduced size.

* "Fit to ... page(s) wide by ... tall" - You can make use of this option to automatically fit your worksheet to a specified number of pages.

* "Paper size"

You may choose the size of the printout in this field.

* "Print quality"

You may choose the output quality for the worksheet to be printed. You may select the appropriate dpi (dots per inch) value according to the resolution of the printer.

* "First page number"

Input the page number which you want to appear on the first page of the worksheet. The default value is "Auto", which means that the worksheet will be printed according to the actual page numbering.
