No more minutes, no more books . . .
Conferences may soon be held via keyboard leaving minute-taking a thing of the past with new software being sampled by ITB.

Lotus Note' SameTime is an instant messaging system similar to the ICQ network which allows real-time 'conversations' and even conferences with multiple users.

CIP David Lorimer said: "SameTime uses existing infrastructure and is secure, allowing for conferences to be held across the network throughout the Force all over Hong Kong without officers even having to leave their desks.

"Instant messaging is being seen in the IT industry as a vital component of communication and sits between a telephone call and an email message. Although still in its infancy, it is becoming a critical piece of technology for organisations aiming to increase ease of collaboration.

"Like ICQ, you can see who is online and send them messages or initiate meetings with a group of people with just a couple of mouse clicks. Conferences no longer need minute taking as the meeting is recorded on the system, and items from previous meetings can be cut and pasted into the record," he said.

The system would also save time wasted getting to meeting locations, save paper and reduce the need to book conference rooms.

"Of course, the holding of regular meetings by electronic means in no way inhibits the holding of traditional face-to-face conferences when they are necessary. Conventional meetings might simply be held on more of an ad hoc basis as we move further into the electronic age."

Mr Lorimer said evaluation of the product would continue, adding preliminary demonstrations to Senior Management had been well received.
