The E-Police Division (EPOL) of the Information Systems Wing (ISW) launched the Hong Kong Police (HKP) e-mail (unclassified) system in May 2016 to enhance internal communication and work efficiency, targeting regular junior police officers and auxiliary personnel ranking from Constable to Superintendent. In July 2017, the system was enhanced with Bring Your Own Device (BYOD). Officers who have registered as BYOD users and completed a simple one-off installation can log in their email system easily via BYOD, using personal devices such as mobile phones. Officers can also receive unclassified daily Force NoticeBoard messages anytime, anywhere through the system.


Between March and May this year, the EPOL organised four briefings for police trainees on the background, enhancement and future development of the HKP e-mail (unclassified) system at the Police College and the Hong Kong Auxiliary Police Force (HKAPF) Headquarters. The enhanced system was embraced by users, as evidenced by a more than double increase in logins from 13 462 in April to 29 854 in May.


Meanwhile, Assistant Commissioner (Service Quality) Chung Sze-pong presented a certificate to the EPOL recently in appreciation of its assistance offered to the Service Quality Wing in conducting the Staff Opinion Survey 2018. The EPOL has assisted in inviting target respondents via the e-mail system to join the survey.


At the staff associations' monthly meeting in June, the EPOL kept four staff associations informed of the enhancement plan of the system for the fourth quarter of 2018, with the aim of offering a better understanding and promoting wider use of the system. The planned enhancements would include permitting users to send and receive Internet e-mails and inter-departmental e-mails by the system, providing personalised e-mail addresses, and issuing accounts to civilian staff. These initiatives would facilitate internal communication for the support of frontline units, and further increase work efficiency.
